Expense slips, for South African businesses

Photograph the slip at the till. The office has it before you pull off.

No more shoebox. No more faded thermal paper in a jacket pocket. Your people snap the slip, it lands in the office with the amount, the shop and the date already on it — and the month adds itself up.

Works on any phone. Nothing to install. We set the first month up with you.

The Slip Control capture screen on a phone, ready to photograph a till slip
R15 000 of slips a month, and a quarter of them faded, lost, or never handed in.
That is about R490 a month in VAT you cannot claim
Nearly R5 900 a year. Illustration only, at 15% VAT inclusive — run your own numbers.
How it works

Three steps, and the first one takes ten seconds.

The person who spends the money does the work, at the moment they spend it. Nobody has to remember anything later.

1

Snap it at the till

The shop name fills itself in off the photo. Type the total; the VAT splits itself. Tap send.

2

The office has it

It arrives with the photo attached, under the right company and the right person. Nothing to forward, nothing to chase.

The month adds up

Totals, VAT, categories and what you still owe your people — plus a spreadsheet and a photo pack for the bookkeeper.

Month end

Who spent what, and whose money it was.

Cash, company card, eWallet, EFT — and the two that have to be paid back: a private card or their own cash. The column on the right is what you still owe, to the cent.

What you get

Built for how a small South African business actually runs.

More than one business

Each set of books kept completely separate, on one login. Switch with a tap at the top of the screen.

Money your people put in

A private card or their own cash is tracked as owed to them until you have paid it back, and marked off when you do.

Cash you send out

Give a driver R500 for a trip, log his slips against it, and see the change due back without a single phone call.

VAT already split

Inclusive, exclusive and VAT on every line, at each company's own rate. Spend with no paper is flagged so it can be chased.

A pack for the bookkeeper

A spreadsheet that opens in Excel, and a printable pack with every slip photo, one per page, for the file or for SARS.

Rands and cents, properly

Type 279,92 the way you always have. Works on a cheap Android, works on bad signal, works offline and syncs after.

What it costs

One monthly fee per company. That is the whole price list.

Get started

Put your business on it this week.

Send me a message and I will phone you back, set your company up, and walk your people through it myself. You will see it working on your own slips before you pay anything.

Tell me your business name, roughly how many people will be photographing slips, and whether you already have a bookkeeper. That is everything I need to set you up.

Straight answers

The things people ask me first.

Do my people have to install anything?

No. They open a web address once and add it to the phone's home screen. After that it behaves like any other app, including when there is no signal — slips wait on the phone and go up when the bars come back.

Does it really read the slip?

It reads the shop name off the photo and fills it in for you. The total you type yourself — that one number has to be right, and a till slip photographed in a bakkie is not something I am willing to guess at on your behalf. The photo is always kept, so the proof is there either way.

What happens to my data if I stop?

You take it with you. Every month exports to a spreadsheet and a folder of slip photos, and you can pull the lot down whenever you like. There is nothing to be locked into.

Who can see my slips?

Only the people you invite to your company, and only the company you invite them to. If you run three businesses, someone invited to one of them cannot see the other two — that is enforced by the database itself, not just hidden on the screen.

Is it POPIA compliant?

The slips and the people's names you put in belong to you; Nuthill processes them on your behalf and does not use them for anything else. Data sits with Google Cloud. If you need an operator agreement for your file, ask and you will get one.

Does my bookkeeper have to pay?

No. Your bookkeeper gets a login to your books at no extra cost. If they want their own view across several clients, phone me — that is what it was built for.

Can I see it before I commit?

Yes, and you should. Send me a WhatsApp, I will set your company up, and you can run a week of real slips through it before any money changes hands.
